I have been using Expensify for several years. When I was in a corporate environment, it was mainly to track expenses while traveling and aid in submitting an organized report to the corporate systems. Since starting a small business, I have used it to track expenses throughout the year to make taxes easier.

Expensify has been incredibly useful to me for many years. Considering I am using the free version, it's hard to find a better value! If your company does not have a good expense-capturing system, Expensify will save you hours on submitting reports. You can take a picture and toss the paper receipts right at the point of sale without worrying about losing them during your travels. If you have a small business, you can use it to track and organize regular expenses to make billable expenses and end-of-year taxes a whole lot easier.

I use it to report and get reimbursed for my monthly expenses - this includes, travel, software licenses, subscriptions, hardware, fees, etc. As an international contractor, I do have common expenses that my company reimburses me for.

  • The experience on mobile is at parity to desktop
  • I can scan my receipts and not have to worry about filling in information manually
  • Make it easier to submit multiple receipts/files in one expense
  • Often times I get a warning that the value of a receipt doesn't match what I manually I inputted. So making Smart scanner a little smarter, essentially.
  • It would be fun to see stats about my expenses
It's well suited for a company like mine, where employees are distributed globally and frequently travel and have software expenses.

I really can't think of a situation where it's less appropriate. In more regulated industries maybe? At a previous employer I used SAP Concur and it was a nightmare, because of its clunkiness and not being intuitive at all. It was a major, global corporation though.

  • It would be great if there was a REQUIRED date of purchase AI recognition.
  • It would be helpful if employees could have designated departments/classes so the expenses would automatically code to the correct department.
  • As an admin user adding approvers to new users seems cumbersome and error-ridden. When I try to add approvers to new employees, often times, the field is blacked out or not even an option.
  • It would be great if we could easily deactivate users without going through multiple steps.
  • I would like to be able to delete reports from the inbox that are old/and not correct instead of having to request the submitter to do so.
  • I can hardly see the buttons on the filters in the inbox and the expenses list.
  • It would be nice to be able to filter by approver.
  • I don't like that user names aren't uniform. Why do some users have their email address as their username, and some people have their actual name (First and Last).
Expensify is helpful in that employees can somewhat easily submit their expenses for reimbursement. I have had several situations where employees are confused by the process of setting up their accounts. I would also like to have reimbursement rules that make it easier for employees to consolidate their expenses onto a single report instead of letting people submit reports for single expenses with reckless abandon or just plain misunderstanding of consolidation options.Why do I need a "Magic Code" and Authenticator code to log in now. It isn't working an is adding too much time just to log in. Highly frustrating.

Expensify allows our team to quickly enter expenses on their website. It solves the problem of having to submit expense reports manually or having to save receipts. You can save receipts on your cell phone and send them to Expensify or upload them when you are submitting reports. It's easy to use so it requires little training or setup time.
  • Submitting expenses. It's easy to enter an expense, choose a category, enter the dollar amount and submit it. That's about it.
  • Uploading receipts. You can send receipts to Expensify from your phone, or upload them from your computer.
  • Entering hours worked. It's simple to move from expenses over to timesheets to submit the hours that you've worked.
  • Keeping their political opinions out of it. I shouldn't be emailed and told to vote for a certain candidate like they chose to do before the presidential election. I didn't sign up for Fox News or CNN.
  • Uploading duplicate charges. Duplicate charges are flagged, but sometimes I have multiple expenses for the same dollar amount and the same company. To get around this, I change the cents a bit ($19.99 for one and $20.01 or another).
  • Every once in a while it gets a little buggy when uploading a receipt, and I have to press the back button and start again. This is pretty rare though.
Expensify is perfect for a small team or a small business. It's affordable (I believe there is even a free version) and it is very easy to submit reports and to teach others how to submit reports. For a larger business, a one-stop shop for travel and expenses might be a better option. Larger companies might want more analytics as well, although Expensify does allow you to run reports.

Expensify is used by our organization for expense report management, integrated with our accounting ERP system, Intacct. It allows our mostly remote team to submit expense reports paperlessly and makes approval and reimbursement very easy.

Expensify is a great, really easy to use expense report software that I have used for many years now. I think the ease of use is far superior to its main competitor Concur from both a user and admin standpoint. It is ideal for a company who wants to get away from paper receipts and reports because employees can simply snap a picture of a receipt and save it in the app so there is no need to hold onto receipts while traveling.
From an admin perspective, it is very easy to sync the system to Sage Intacct, easy to add and delete users and easy to set up approval flows that vary employee to employee.

It is being used across the whole organization to manage employee expenses and reimbursements. It solves the problem of expense approval workflow as well as the need for receipts to ensure proper accounting and bookkeeping. It also makes it easier to categorize and track expenses made on company credit cards.

Our organization uses Expensify to track, manage, and approve expenses. I personally use it on my mobile app and on my computer. It's easy to use. It helps everyone stay informed about expenses and cascades the approval process through the necessary managers. It makes it convenient to track expenses on the go, including work trips.

I highly recommend this tool for medium to large companies who need to manage and track expenses, and/or distribute reimbursements. We use Expensify across the entire company for reimbursements including documentation, approval, and payment. Currently, all reimbursements are approved by one person on the operations team. In the future, we will move to a department-based approval system. It keeps all documentation in one place and expedites the reimbursement process vs. one person manually processing the payments through our banking system.

  • The mobile app and web app don't have the same UX.
  • Smartscan sometimes takes a while.
It's an excellent, user-friendly system to manage the expenses process. In my experience, it's a quicker, easier tool than using a corporate-type system (eg. Workday) for the expense process. Unfortunately, when companies scale, they tend to adopt large scale corporate systems and Expensify hasn't figured out how to market and be used in those situations.

As a consultant, I travel a great deal. I used to manage receipts the old-school way: stuff them into my pockets and hope I don't lose any. With Expensify, receipts get uploaded on the fly, get tagged to a specific expense report, and are ready to be submitted with my invoices when I need them.
  • Smart scanning of receipts is a wonderful tool that saves me keystroking time.
  • The ability to create mileage receipts using the maps feature makes it unnecessary to track odometer readings.
  • Creating the expense rules can be a little clunky and difficult.
  • Some things are difficult to find. For instance, when I needed to change the mileage rate, I had to search the knowledgebase for how to do this.
Expensify is perfect for a business traveler who needs to track expenses by the client for either client payment or IRS reporting. With receipts captured and stored, it makes reporting very, very easy. The ability to integrate with Quickbooks is also a time-saver and reduces the need to double enter expenses in two different applications.

Expensify is being used across our organization to manage expense submissions, it is connected to our Netsuite account and there is a multi-step approval through managers and finance before our expenses are being reimbursed. It allows employees to submit expenses, managers to approve them, and the finance team to reimburse once approved.
  • I like that you can set up rules for common expenses like cell phone reimbursement so you don't have to type the same thing each time.
  • You can sync to your bank accounts to automatically pull in transactions.
  • Most of the time, the smartscan feature fails or freezes for a long period of time on mobile and I have to enter things manually.
  • I can't choose to submit my expenses to different people (only my manager), example if I incurred expenses from a different department head I can't send to them for approval.
Generally, Expensify is a very useful tool for submitting and being reimbursed for expenses. I've worked at small organizations and larger ones that have used the tool and it is very adaptable and works well for both. It becomes particularly useful if you have many approval chains and you need to have multiple people approving reports. If you really only need to track expenses on a corporate card, I think you can get away with the basic package.

We use Expensify across our entire organization for expense management, expense reporting, and employee repayment. We also have an interface with American Express that brings in all charges to each individual's expense report for company card purchases. This helps out with monthly expense reports for every employee in our organization.
  • Expensify is easy to use.
  • There are very few technical issues.
  • It has some quirks with reading receipts.
  • The phone app sometimes loses receipts.
Expensify is a great product. It performs great, is easy to use, and we get very few complaints from both users and accounting folks who manage the reports on the backside. It has some great interfaces, good drag and drop for PC users, and an app for those that live on their phones.

My company is not using it at the corporate level. I've recommended to my coworkers and most of us use it personally to track expenses, then manually send to the finance department.
  • Capturing receipts with OCR is awesome
  • Ability to forward email receipts, particularly for travel reservations, is great
  • A more robust way to export to a xlsx format would be helpful
  • Syncing credit card records when you login would be helpful rather than having to manually do it
I don't think it would be good at tracking billable hours of work, but it is super easy to use for pretty much anything else you buy or for mileage.

Expensify was used by my entire company, starting at the time we had 30 employees up until the time we were acquired.

When we had just over 100 employees, we need a platform that was easy to set up, and our employees would quickly adopt that. It was used across the entire org for mainly travels expense reports. It was also used for general expenses not related to travel.
  • Links up to a credit card and automatically creates receipts.
  • Let's you get reimbursed for miles using a maps plugin where you can enter a starting point and final destination.
  • If you chose to scan receipts the it could take a long time for them to registers.
  • It didn't categorize receipts consistently on it's own.
Having traveled for business and created expense reports for over 15 years, I can say that Expensify was great for field sales reps. The ability to link it to your credit card and auto-magically see the reports create themselves was incredible. For me, it was all about spending as little time as possible with maximum accuracy.

We use Expensify to streamline the employee reimbursement process and to keep budgets in check. In the past, reimbursements would generally involve filling out paperwork and attaching physical receipts to those reports and then it would take weeks to get all the necessary managers to sign off on it. Expensify not only eliminated all paperwork, but it also gets approvals done quickly.
  • The interface is pretty simple and follows general trends with SaaS applications.
  • Automated workflows get approval requests in front of the necessary people quickly. This also keeps the requested up-to-date on the status of a reimbursement.
  • Understanding the true workflow between uploading a receipt and submitting a report can be a bit confusing.
  • The automated receipt processing doesn't always work. Many requests end up having to be manually entered.
Growing companies (around 300 employees) who end up processing reimbursements several times per day would probably start seeing the ROI of Expensify. Smaller companies or companies that don't deal with a lot of employee reimbursements most likely won't benefit from Expensify. Not sure how well a large enterprise company would benefit from Expensify.

Being used to log and submit all work related expenses either though our desktop computers online or via our company mobile phones. The ease of using the mobile app is extremely useful especially when traveling. Great functionality in terms of capturing digital images for receipts.

We use Expensify across our entire company to manage employee reimbursements (i.e. per diems and mileage for field team) and to manage company credit card transaction reporting for all employees. With over 50 employees in multiple states on multiple projects using the company card for hotel and travel costs we are easily able to ensure all receipt and all job costing occurs weekly for every employee and ensure every employee is reimbursed within a week for all approved travel expenses.

Our team travels a lot, usually twice a month to meet with clients and such. We use to do expenses by entering line items into an Excel form and manually submitting these for approval by our manager and then to finance for reimbursement. Since bringing in Expensify, my time spent doing expenses has been significantly reduced and it actually made it this task an enjoyable experience. First off, the mobile experience is clean and powerful. I now enter expenses on-the-go by using the app's built-in camera function to snap a picture of the receipt and using the "SmartScanning" function which uses an OCR-like software to read and complete the expense fields from the receipt. I've found it to be very accurate and I've rarely had to adjust any of the auto entries. Another great function of the app is the ability to generate a receipt for mileage by selecting two points on a map and letting it calculate mileage. Between the "SmartScanning" or receipt and automated mileage entries, this alone makes Expensify the tool to have to bring your expenses into the 21st century. The web portal is also very easy to use but I am mostly a mobile user.
  • Powerful mobile experience, truly designed for professionals on the go. The mobile app isn't just a data entry tool, it scans receipts, generated mileage receipts and manages expenses. You can also do it all from the app, from creating reports to submitting them for approval and seeing the status of your reimbursement.
  • The interface on both mobile and the web is clean, well laid out, easy to use and a breeze to navigate. My team and I needed zero training on how to use this, it is THAT simple. I tend to have several expense reports going at once and they need to be segregated as they're billed back to clients, the ease with which I can classify my individual expenses is a great timesaver.
  • The help feature within the app is easy to use, articles are available through a built-in search and you can also start a conversation with support.
  • The OCR algorithm for the "SmartScanning" isn't always right and it seems to make the same mistakes, I wish it could learn from user corrections.
  • When entering receipts manually or through "SmartScanning", I ALWAYS have to enter my department although it never changes. I wish I could set this in my profile and have it entered automatically into every receipt.
  • The app and web interface should allow for 2FA given the confidential nature of the information stored on their systems.
Expensify is very well suited for professionals on the go, the mobile experience is fully featured and there's no need to even use the web portal unless you're tired of looking at your phone screen. The ease and speed with which I can enter, organize and segregate my expenses have allowed me to spend more time on other tasks as I now enter m expenses in real-time as soon as I get the receipt by using the built-in camera. In the event that I lose a physical receipt, I already have it in the app and this is now a non-issue.

At Numerify, we use Expensify to log all expenses, from entertaining clients, to transportation, to travel related meals, and more. We also use a travel booking software, which has seamless integration with Expensify so that all of our airfare and hotel expenses automatically sync with Expensify, which makes it very convenient.
  • Ease of use of the mobile app with push notifications that keep you updated on the status of your expense report(s).
  • Direct integrations with travel booking software that automatically pulls those expenses into the Expensify app.
  • The receipt reader that allows users to take a picture, and the data is extracted into Expensify.
  • The receipt reader sometimes can't automatically put the expense in the correct category, as each company categorizes expenses differently.
  • Sometimes you'll receive an error alert, but it doesn't specify why. This is usually related to your company admin's settings, however.
  • If you accidentally press the + sign sometimes, it creates an additional report where you can't delete the report on the app and have to do it on the web page.
It's very appropriate for employees where you incur several expenses. I can't think of a situation where it's not well suited for working professionals that have to track/submit expense reports. It's less appropriate for those that don't incur a lot of expenses, as it might be inconvenient for employees like that to have to submit a report for a dollar amount that is so small.

For a company without corporate credit cards, we use Expensify across the whole organization so individuals can make purchases on their own and expense them thereafter for reimbursement.
  • Their web and mobile interface is incredibly easy to use, stable and makes uploading invoices a breeze.
  • I especially love their mobile app because you can snap a photo of your receipt and Expensify will auto-fill the amount and details of that expense.
  • Expensify is stable and I've never experienced a prolonged downtime while using it over the past six years.
  • Nothing. Filing expenses is never a fun thing, it's a menial task. Expensify makes it somewhat enjoyable, all things considered.
Any organization who wishes to streamline the filing and reimbursement of expenses should use Expensify. If you're a larger organization you may have this bundled in a larger software suite that your company is using, but if you're a small to mid-sized company, without a designated finance suite, Expensify is a great fit.

Expensify is used across the company. It directly addresses the problem of managing expenses including categorization and ensuring that receipts are attached.
  • Excellent mobile app makes scanning new receipts quick and easy.
  • Relatively flawless smartscanning reduces the need to manually enter data for receipts.
  • Centralized rulesets allow enforcement of company policy.
  • Managing multiple expenses at once can be slow and cumbersome
  • Occasionally, the receipt images are lost.
  • Web interface can be sluggish at times.
Expensify excels at collecting expenses as you accumulate them and collating them into a report to be submitted to the accounting department. But, it only does this well if you're consistent with scanning the receipts as you collect them, and creating the reports as you go. Mass scanning and report generation can be slow and cumbersome.

Overall, this is a must-have tool for anyone dealing with expense reports on a regular basis.

I have used Expensify for years to track my own business expenses. I also used it as a contractor for a consulting firm. Contractors would record expenses for engagements and submit weekly expense reports. It made expense-tracking and reporting extremely easy.
  • You can record an expense as quickly as you can snap a picture on your phone.
  • Submitting an expense report requires very little effort.
  • All receipts are kept in one place.
  • The user interface is very intuitive.
  • Sometimes the receipt scanning can take a while to complete, and hard-to-read receipts may require some manual input.
I have used multiple expense tracking software solutions. Expensify is the easiest and most enjoyable to use by far. There was organization-wide grumbling when we had to switch to Concur and later to ExpensePoint. From a user standpoint, you can't get much easier than Expensify.

Expensify was used to automatically upload expense reports. I was in the process of implementing the system so that the entire company would use the product instead of manually handing in paper copies of expense reports.

Currently, I use it for my corporate credit card tracking. I am currently the only one in my department that is using Expensify. It solves so many "On the Go" accounting problems. For most people, their receipts and budgets/accounts are either paper, on a computer or some combination of the two and Expensify allows me to take it on the go and make edits and track while I am not in the office.

  • Expensify allows you to photograph receipts and logs them as expenses while automatically pulling vital info from the receipt such as place of purchase and total spent.
  • Using the data and expenses already entered, Expensify creates reports and you are able to customize the reports based on which expenses you want to include on that specific report.
  • It can automatically email or add items or expenses to your email. You have the ability to sync Expensify and integrate it with other software and productivity programs.
  • It has a GPS tracking option for tracking mileage for expense reports. The GPS functionality seems a little unreliable, I would rather use the odometer option or distance option although not as "high tech" it just seems to work better.
  • On the time tracking piece I would like to see more filters and criteria options to be filled out.
It is great for anyone who does any amount of travel for business! This does not have to be international travel or consistent coast to coast travel although it is great for that. Anyone who has expenditures and is not locked to their desk, meaning they are out and around town or having working lunches or using any payment that needs to be tracked for accounting purposes.

First, for the sake of full disclosure as a solopreneur I alternate using Expensify along with another expense tracking act. The reason for this is that there is no one like policy that I have to follow in order to submit my reports to various clients. However, I have been engaged by clients who use this app which makes it easier for me to submit expenses for reimbursement.

By that same token, several past and current clients have cumbersome or virtually non-existent expense reporting systems. Consequently, I have suggested that they take a look at Expensify to help them solve their needs in this area.
  • The first thing that I believe Expensify does well is that it offers a very friendly user experience on the desktop version and if you're new to the app, the free version allows the user to give it a complete test run. The simplicity of it all makes it easy for a user to navigate the site and input the necessary information.
  • Secondly, not only does Expensify allow you to keep a handle on your expenses, it also keeps you abreast of miles traveled and time worked on a project as well as syncing your info with select CRMs.
  • Another plus is the pricing model is not only very straightforward, but it's based on how many people actively use the system. The ability to add a credit card for importing works well and adds to the app's functionality.
  • The smartscan is really cool and easy to use.
  • As a solopreneur, I would like to see a version geared toward freelancers that avoids all of the policy, employee and administrator designations. While I'm extremely high on Expensify as a software for multi-employee companies that have some bureaucracy, it's a lot more than freelancers need or want.
  • While I like some of the integrations, I think that they are missing the boat on some like Quickbooks for Self-employed, FreshBooks, and TripIt to name a few.
  • The need to manually export data on the desktop is a little of a turn off.
Best suited for companies with multiple employees. Not great for freelancers.
